How to Convert a PDF to Excel on Mac (With Real Numbers)
Excel for Mac can't import a PDF: the Get Data › From PDF connector exists only in Excel for Windows, and pasting from Preview usually drops everything into one column. A bank statement, a supplier invoice or a price list arrives as a PDF, and you need the figures in a spreadsheet to sort, filter or add them up. Retyping a few hundred rows is slow and error-prone, and copy and paste rarely gives you usable columns.
This guide covers what a Mac can do on its own, where the free workarounds break, and how to get a clean .xlsx without sending the file to anyone.
Can Excel for Mac import data from a PDF?
No. In Excel for Windows with Microsoft 365, Get Data › From PDF (Power Query) reads tables straight out of a PDF. Excel for Mac has Power Query too, but at the time of writing it does not include the PDF connector, so there is no built-in way to pull a PDF table into a Mac workbook.
The other built-in apps don't fill the gap. Numbers can't open a PDF, and Preview can only copy the text, not the table structure behind it.
What are the free ways, and where do they break?
There are a few workarounds without extra software. They work for a short table and get painful for a long statement.
- Copy from Preview and paste into Excel: the text arrives, but usually in a single column or with rows split in odd places. Text to Columns can repair it only when the spacing is consistent.
- Open the PDF in Word, then copy the table: Word can convert a PDF into a document, but the layout often shifts and a table may come through as tabbed text instead of cells.
- Online PDF to Excel converters: they do the job, but the statement is uploaded to someone else's server. Read what happens to files you upload before sending account details.
- Retyping: reliable for ten rows, unrealistic for a year of transactions.
How to convert a PDF to Excel on Mac with File Acture
Convert Files is the first tool in the File group of the sidebar. Drop a PDF on it and the Detected format line shows what it found; choose Excel Spreadsheet (.xlsx) under Target format and click Convert. You can drop several PDFs at once.
Each PDF page becomes its own worksheet. Columns are rebuilt from where the text lines up on the page, so a statement laid out in columns lands in columns. Only the text and numbers come across; logos, charts and photos are left out. The spreadsheet gets the same name with a new extension (Statement.pdf becomes Statement.xlsx) and is saved in the folder you choose, Documents › File Acture by default; the original PDF is not changed.
What happens to numbers, dates and leading zeros?
This is where most converters disappoint: either every cell is text and SUM returns zero, or long numbers are turned into numbers and lose their zeros. File Acture treats the two kinds of value differently.
- Amounts become real numbers. Plain numbers, percentages and currency amounts are stored as values with a matching format, so formulas work right away.
- Both number styles are read. 1,234.56 and 1.234,56 are both understood, so European statements convert as well as US ones.
- IDs stay as text. Long account, card and phone numbers, and dates, are kept as text, so a leading zero is never dropped and nothing turns into 1.23E+15.
Can you convert scanned or password-protected PDFs?
Yes. When a page has no text layer, because it was scanned or its text was turned into outlines, macOS's own text recognition (Vision) steps in automatically, so a scanned statement still gives you cells. If you also want a searchable PDF of the scan, OCR PDF does that separately.
A password-protected PDF, AES-256 included, is opened with its password and converted like any other file.
Tips for bank statements and invoices
A few habits make the spreadsheet easier to work with afterwards.
- Multi-page statements: every page is its own sheet, so copy the rows into one sheet if you want a single running list.
- Check the totals: compare one column sum with the total printed on the PDF before you rely on the figures.
- Need the text, not the grid? For letters and reports, convert the PDF to Word instead.

Does Excel for Mac have Get Data from PDF?
Not at the time of writing. The From PDF connector is part of Excel for Windows with Microsoft 365; Excel for Mac has no built-in way to import a PDF table.
Will leading zeros in account numbers survive the conversion?
Yes. Long numbers such as account, card and phone numbers are written as text, so leading zeros stay and Excel does not switch them to scientific notation.
Are the amounts real numbers I can add up?
Yes. Numbers, percentages and currency amounts are stored as values with a number format, in both 1,234.56 and 1.234,56 styles, so SUM and other formulas work directly.
What happens with a PDF that has many pages?
