You save a workbook as a PDF and the last columns land on pages of their own, or a tidy table shrinks until nobody can read it. The PDF is only as neat as the sheet's page setup.
This guide covers what Excel on a Mac does by itself, which settings make every column fit, and how File Acture converts workbooks without Excel, in batches and without uploads.
Why are my Excel columns cut off in the PDF?
A PDF copies the printed page, not the screen. At 100% scale a sheet wider than the paper continues on the next page, so the last columns land on pages of their own. The sheet's page setup (orientation, paper, margins, scale, print area) decides where pages break, and the page break view on Excel's View tab shows the breaks as blue lines.
How do you fit an Excel sheet on one page in a PDF?
If you have Excel, this is the real fix and often all you need. Three settings decide whether all the columns land on one page, and Excel stores them in the workbook.
- Page orientation: on the Page Layout tab, choose Orientation › Landscape for a wide table.
- Scale to Fit: set Width to 1 page and leave Height on Automatic. Columns shrink to the paper width and rows run on over further pages at a readable size; 1 page wide by 1 page tall only suits small tables.
- Print area: select the cells to print and choose Print Area › Set Print Area to keep notes and empty columns out.
How do you save an Excel file as a PDF on a Mac?
In Excel, choose File › Save As… and pick PDF as the file format. The PDF follows the page setup above, so for a workbook you can open in Excel this is enough. The setup belongs to each worksheet; to change several at once, right-click a sheet tab and choose Select All Sheets first.
Without Excel, Apple's Numbers app opens .xlsx files and exports a PDF through File › Export To › PDF…, but it rebuilds the workbook in its own format and the layout can shift. Online converters work after your file is uploaded to someone else's server.
How does File Acture convert Excel to PDF on Mac?
Convert Files is the first tool in the File group of the sidebar. Drop a workbook on it and the Detected format line shows Excel; the result is always a PDF, so there is nothing to choose. You can drop several workbooks at once, and Microsoft Office does not have to be installed.
Each PDF keeps the workbook's name (Budget.xlsx becomes Budget.pdf) and lands in the folder set under Save to, by default Documents › File Acture › File. The workbook stays as it was, an existing file is never overwritten, and a cancelled or failed run leaves no half-written file.
Which page setup does File Acture follow?
Every visible sheet is printed the way Excel's Print Entire Workbook would, from what the workbook saved:
- Page setup: print area, repeated rows and columns, orientation, paper size, margins, scale or fit to a number of pages, centering, manual page breaks, headers and footers.
- Cells: number formats, fonts, fills, borders, merged cells and conditional formats.
- Objects: pictures, shapes and charts are drawn where they sit on the sheet.
- Formulas and hidden sheets: a formula saved without its result, as some scripts do, is calculated when it uses common functions; hidden sheets are skipped.
What if the workbook has no page setup or scaling?
A workbook made by a script, a web export or accounting software may carry no page setup, and any workbook may have saved no scaling. Where Excel would print such a sheet at 100% and split its columns, File Acture shrinks it to fit the page width, but never below 50%. With no paper size saved, it uses A4; with no orientation saved, it uses portrait, or landscape when the sheet is too wide for portrait. Columns that still do not fit are split into bands, groups of columns that continue on the following pages, and the first row repeats on each page when it reads like a header.
For a very wide sheet that must stay on one page, set Width to 1 page in Excel once, save, and convert again.
