How to Convert PowerPoint to PDF on Windows, With or Without PowerPoint
If PowerPoint is installed, File › Export › Create PDF/XPS Document (or Save As with PDF as the file type) gives the most exact PDF, with notes pages, handouts and hidden slides as options. Without PowerPoint, or for many decks at once, File Acture's Convert Files turns .pptx files into PDFs on your PC without uploading anything.

A client emails a deck, a portal wants your slides as a PDF, or you want to share a presentation without its fonts going missing. With PowerPoint that takes a few clicks. Without it, Windows has no program that opens a .pptx, so the free routes either upload the file or need an Office app you don't have.
What is the best way to save a PowerPoint as a PDF on Windows?
If PowerPoint is installed, use it. Choose File › Export › Create PDF/XPS Document and click Create PDF/XPS, or choose File › Save As and pick PDF as the file type. PowerPoint draws every slide itself, so fonts, shadows and spacing match what you see on screen, and text links stay clickable. No other tool can match it exactly on every deck, File Acture included.
It is also the route for extras. Click Options… in the save window, then use Publish what to choose slides, handouts or notes pages, and tick Include hidden slides if they belong in the file. For a deck full of photos, set Optimize for to Minimum size (publishing online). The catch is that it needs PowerPoint and converts one deck at a time.
What can I use if PowerPoint isn't installed?
Windows has no program of its own that opens a .pptx, so its built-in tools can't do it alone. The other routes each give something up.
- Microsoft Print to PDF: it is a virtual printer, so it still needs PowerPoint to open the deck. Even then it is a second choice: it has no quality settings, and the copy loses links and bookmarks. Here's why printed PDFs behave that way.
- PowerPoint for the web, Google Slides and online converters: they work, but your deck is uploaded. Read what happens to files you upload before sending a client's slides there.
How do I convert PowerPoint to PDF on Windows with File Acture?
File Acture's Convert Files reads the .pptx itself, so PowerPoint isn't needed. Drag one or more decks into the window; the Detected format line confirms they were recognized as PowerPoint. There is nothing to choose, because a presentation can only become a PDF. Click Convert.
Each deck becomes a PDF with the same name (Pitch.pptx becomes Pitch.pdf) in the folder you choose. The original is not changed, an existing file is never overwritten, and a cancelled or failed conversion leaves no half-written file.
What does the PDF keep?
One page per visible slide, in the deck's order and size, so a 16:9 deck gives 16:9 pages, not A4.
- Backgrounds and masters: solid, gradient and picture backgrounds (patterns come out as a blend of their colors), plus the shapes of the slide master and layout.
- Shapes and pictures: gradient and picture fills, outline styles, arrowheads, rotation, groups, connectors and cropped pictures.
- Tables, charts and SmartArt: tables with their styles, plus charts and SmartArt graphics.
- Text: drawn as real text, so you can search and copy it in the PDF. A font that cannot be embedded, such as some OpenType fonts, is drawn as shapes instead.
Can I convert several decks at once, and is it private?
Yes. Drag in several decks at once and each becomes its own PDF. Everything happens on your PC, so a deck with unreleased numbers or client names is never uploaded. File Acture runs on Windows 10 (version 1809 or later) and Windows 11, 64-bit.
The free version includes 3 runs on each PC with up to 5 files per run. Pro is a one-time purchase, and one license covers one PC. If a PDF is too big to send, shrink it to a target size; for the other direction, turn a PDF back into PowerPoint.

Questions
How do I export a PowerPoint to PDF on Windows for free?
With PowerPoint installed, choose File › Export › Create PDF/XPS Document, or File › Save As and pick PDF. Without it, the free version of File Acture converts up to 5 decks per run, 3 runs per PC.
Why not just use Microsoft Print to PDF?
It needs PowerPoint to open the deck, has no quality settings and drops links and bookmarks. PowerPoint's own Export or Save As keeps text links and offers notes pages, handouts and a Minimum size option.
Can I convert an old .ppt file or a password-protected deck?
Open the .ppt in PowerPoint and save it as .pptx; for a protected deck, remove the password in PowerPoint first.
Is my presentation uploaded anywhere?
No. File Acture reads the .pptx and writes the PDF on your PC, and the original stays unchanged. To count free runs it sends only the tool's name, the app version and anonymous identifiers, never file names or contents.
